The following are questions that we often hear about Insights Cloud. If you have questions not listed here, reach out to support@encoura.org or your Regional Director.
How are Enrollment Insights and Program Outcomes reports different from Enrollment Lens?
If you previously used Enrollment Lens, you'll see a number of big changes and improvements including the ability to see three years of data on every report. You'll also see an expanded list of filters available and standard on every report including many new fields. In addition, you'll see the ability to save reports, share reports, and build custom dashboards using any combination of visualizations. All reports are now mobile-friendly, as well, making your data accessible from any device.
How are Market Analysis reports different from Market Insights?
If you previously used Market Insights, you'll see a few differences in these reports. Most importantly, you'll automatically get new data as it's compiled so you'll see four years of history in 2023 and five years in 2024. In addition, you'll see the ability to build custom dashboards using any combination of visualizations. All reports are now mobile-friendly, as well, making your data accessible from any device.
Can everyone see my Saved Reports and Dashboards?
Saved Reports and Dashboards are only visible to the user that creates them unless they've been shared. By sharing the report, you're providing access to others that allows them to edit or clone for their own use.
How often is data updated?
Data for Market Analysis, Competitive Analysis, and High School Explorer is added annually once we have the enrollment data needed from National Student Clearinghouse. At that point we will publish a new Enrollment Year to the reports. This process is scheduled to occur in March each year.
Data for Enrollment Funnel Insights and Program Outcome Analysis is updated as often as you send data to Encoura using the Standard Import process.
How is visibility calculated in Market Analysis reports?
Visibility in your Market Analysis reports is designed to show your share of the market by identifying students who have expressed interest in your institution. Today that includes data from the myOptions and Encourage college planning platforms as well as data from ACT indicating where students have sent official scores.
Can I access Market Analysis data older than 2019?
Insights Cloud is delivered with three years of data beginning with 2019, 2020, and 2021. As new Grad Years are added in the future, we will add to the list of available years and allow you to select the years used for comparison purposes.
How are Geomarkets defined?
Insights Cloud uses an industry standard list of zip codes to define the geomarkets displayed throughout all reports.
How are Territories defined?
The territories used in Enrollment Insights and Program Outcome reports come from the data provided in your Standard Import file. The Territory field is defined to use any value your provide and any territories you provide will be visible in the Territory filter.
Where does the high school profile information come from?
This information (on the HS Detail Report) comes from a variety of sources including our own internal data (from myOptions Encourage), data from the National Center for Education Statistics (NCES), and the Private School Universe Survey (PSS). This information is updated annually as new data is published.
Why do I see strange values in some of my filters?
The filters used in Enrollment Funnel Insights and Program Outcome reports are based on data provided in your enrollment file. If you're seeing something in a filter that doesn't look right, review the latest file you uploaded and check the values for that particular field.
Are Enrolled Students counted differently in some of these reports?
Yes. In the Market Analysis and Competitive Insights reports, enrolled student information is gathered by matching our known student information (from the combined Encoura/ACT dataset) to data from National Student Clearinghouse (where your enrolled students are reported). In the Enrollment Funnel Insights and Program Outcome Analysis reports, you'll see the enrolled student data you provided through your latest enrollment file.
Can I access information about homeschool students in Market Analysis reports?
Yes, from any of the filtered reports (Total Market, Institution Visibility, Enrollment Analysis, or Competition Analysis) you can use the High School Type filter and select Homeschool as the value. Because homeschool students don’t have a single location, you won’t find a High School Detail report.
Are all students in the US included in Market Analysis reports?
The most recent government data from NCES (2020) reports that 63% of high school graduates are college-bound (42% to four-year colleges and 20% to two-year colleges). Market Insights includes approximately 73% of high school graduates nationwide based on projections from NCES and WICHE.
Can I create a PDF version of my reports?
While there is no built in ability to export to PDF, there are several browser extensions that may work for you. For instance, GoFullPage allows you to save the entire page as either an image or a PDF. Note that we don't support third-party extensions like this but we hope you find them useful.
How do I use custom data in Insights Cloud?
Enrollment Funnel Insights and Program Outcome Analysis reports provide the ability to filter your reports using up to five different custom filters. To make use of this functionality, you can populate Custom Filter 1 - Custom Filter 5 in your Standard Import Layout with any data that would be helpful in your reports. For example, if you were collecting T-Shirt Size for events, you could provide data in Custom Filter 1 indicating the size needed for each student. You could then use Custom Filter 1 on your reports to select from the sizes available.
In addition, Enrollment Funnel Insights and Program Outcome Analysis reports provide the ability to filter your reports using up to five different custom dates. To make use of this functionality, you can populate Custom Date 1 - Custom Date 5 in your Standard Import Layout with any data that would be helpful in your reports. For example, if you were collecting Campus Visit Date, you could provide the date in Custom Date 1 for each student. You could then use the Custom Date 1 filter on your reports to select a date range of students visiting.
How do I change the default years used in my reports?
The Enrollment Funnel Insights and Program Outcome reports all use a Default Enrollment Year to determine which enrollment years are displayed. The Default Enrollment Year is set by an Administrator in the Administration Modal/Organization Settings. This determines the Default Enrollment Year and then each report will use to display the comparison years by going back one year and two years. Please note that when the Default Enrollment Year is updated in your Organization Settings, it can take up to 30 minutes for all users to begin seeing the change.
The Market Analysis reports, High School Explorer, and Competition Analysis reports will default to the most recent year available after the annual data updates.
